Maintenance /Facilities Coordinator

 

Position Summary:

The Housing Authority of Florence is seeking a detail-oriented and proactive Maintenance Facilities Coordinator to coordinate maintenance services, perform property inspections, and manage vendor contracts. This position plays a key role in ensuring all public housing properties are maintained to HUD standards and local code requirements.

 

Key Responsibilities:

  • Coordinate routine and emergency maintenance requests across all agency properties.
  • Schedule, conduct, and document facility inspections for compliance, safety, and preventive maintenance. Prepare maintenance reports, inspection logs, and ensure timely follow-up on identified deficiencies.
  • Draft, manage, and track service contracts with third-party vendors (HVAC, plumbing, pest control, landscaping, etc. Assist in procurement processes including RFQs, bid reviews, and vendor selection.
  • Monitor contractor performance and ensure contract compliance.
  • Support the Director of Facilities in budget planning and capital project coordination.
  • Maintain maintenance records, warranties, and asset inventories using property management software. Communicate professionally with residents, vendors, and staff to ensure high-quality service delivery. Ensuring vacant units are turned/prepared to meet HQS and Inspire standards.

 

Qualifications:

  • High school diploma or GED required; associate's or technical degree preferred.
  • 3+ years of experience in facilities maintenance coordination or property management.
  • Proven experience in facilities coordinator or a related field.
  • Working knowledge of building systems (HVAC, plumbing, electrical, etc.).
  • Knowledge of maintenance management practices and procedures.
  • Experience drafting and managing contracts and vendor agreements.
  • Proficient in Microsoft Office Suite and maintenance management software.
  • Excellent organizational, communication, and recordkeeping skills.
  • Ability to fabricate components as necessary for repairs or improvements.
  • Excellent communication skills, both verbal and written, with a focus on teamwork.
  • Strong problem-solving skills and attention to detail in all aspects of work.
  • Valid driver's license and reliable transportation required.
  • Knowledge of HUD regulations and housing authority operations a plus.
